What information do we collect?
Dorchester Ballet and Dance is registered with the Imperial Society of Teachers of Dancing (ISTD) and the Royal Academy of Dance (RAD), so is required to collect and manage certain data. We need to know parents’ names, addresses, telephone numbers and email addresses. We need to know children’s full names, addresses, dates of birth and any medical conditions which they may have.
We store personal data held visually in photographs and video clips or as sound recordings. No names are stored with images in photo albums, displays, on the website or on our social media sites. Such items will only include names when shared in our closed members’ group.
As an employer, Dorchester Ballet and Dance is required to hold data on its teachers; names, addresses, email addresses, telephone numbers, dates of birth, National Insurance numbers and bank details. This information is also required for Disclosure and Barring Service checks (DBS) and proof of eligibility to work in the UK.
We use Cookies on our website to collect data for Google Analytics; this data is anonymous. We use social media to broadcast messages and updates about events and news. On occasion we may reply to comments or questions you make to us on social media platforms.
We use CCTV (Close Circuit Television) to capture images for security of the premises and people using the studio. These images are only viewed by authorised individuals and are deleted after one week, unless we have been notified that they are required as evidence.
Third party organisations
With the exception of the RAD and the ISTD, we will not share your information with third party organisations. If a circumstance arises where this is necessary, we will seek your explicit and informed consent first.
The right to erasure
You have the right to request the deletion of your data where there is no compelling reason for its continued use. However, we have a legal duty to keep children’s and parents’ details for a reasonable time. We will keep these records for 12 months after the student has left the dance school. Records relating to accident and injury, child protection or staff will be retained for the period required by legislation. All data is archived securely and shredded or deleted after the retention period.
How we keep your details safe and secure
Your personal data will be held and processed on Dorchester Ballet and Dance’s systems. We maintain a database management system to hold contact details and information about medical conditions. We also keep a record of examination results. Your data is always held securely and access is strictly controlled. It is only accessible to members of staff, Trustees or elected officers of the management committee who have a reason to work with it.
